Administrative Assistant

Core Accountabilities
Assist the plant manager as needed to ensure that accurate inventories are maintained and reported.
Compile receiving and financial information in spreadsheets and databases to provide regular reports to management.
Prepare spreadsheets, presentations, memos, faxes and other reports as needed by the plant manager.
Provide general office support by answering telephones, distributing and sorting mail, ordering office supplies, and maintaining office equipment.
Coordinate with the corporate office to obtain purchase orders. Accurately code invoices and ensure approval before forwarding to the corporate office.
Serve as a backup for the Production Scheduler.
Maintain appointment calendars. Serves as the focal point in coordinating activates for the management staff.
Prepare purchase orders for all maintenance expenditures. Track maintenance budget. Submit vendor invoices for payment.
Monitor expense reports and expenditures requiring approval. Investigate errors in expenditures.
Negotiate and manage various service and office contracts.
Schedule and coordinate meetings, conference calls, and other events for plant; informs attendees /participants of function dates and times, reserve meeting space, and provide hospitality services when appropriate. Coordinate ground transportation, and hotel accommodations for attendees.
Recognize, understand and participate in the company's quality and safety initiatives. This includes the knowledge and adherence to policies, objectives and work related instructions.
Other duties assigned by management.
High School diploma and a minimum of three years related experience and/or training; or equivalent combination of education and experience.
Strong working knowledge of inventory control systems.
Computer proficiency, including MS Office and MS Outlook. Strong Excel and SAP skills required.
Excellent written and oral communication skills.
Ability to work flexible hours, be on-call, and travel occasionally.
Valid Driver License

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
